EBI Suite Feature List
The EBI application
suite features WANDOCs®, an enterprise-scaleable knowledge, content,
and document management system (DMS), a client/case relationship
management (CRM) module and an enterprise information portal
(EIP). The product was developed on IBM's Lotus Domino® database
platform and runs on all Lotus Domino/Notes supported server
platforms, including IBM's AIX, OS/400, Linux, Unix, Sun
Solaris, HP-UX and Microsoft's NT/2000/XP.
WANDOCs Key Features
Web-Enabled
Out-Of-The-Box: Because
the EBI Suite of applications utilizes IBM's eBusiness
platform, all of the EBI applications,
including WANDOCs, are accessible over the internet and/or
TCP/IP connection (extent depends on security policies selected).
Intranet/Extranet
Publishing Tool: WANDOCs can connect, share data
and interface with any ODBC
compliant application and/or database.
WANDOCs’ open source code allows for customization
specific to the needs of the company.
Document Storage Features:
Libraries
can store documents in two locations and have a backup library
for unlimited redundancy.
This minimizes downtime and provides disaster recovery
by keeping your documents multiple locations. This is
transparent to the user. Libraries can be configured by location,
department
or practice area.
Documents
can be any type of file format, including:
- Word Processing (Word, WordPerfect, etc.)
- Spreadsheet (Excel, Lotus 1-2-3, etc.)
- Picture or Video Clip (JPG, GIF, TIF, MPEG, RM)
- Sound Clip (AU, WAV, RA)
- Adobe PDF format
- True Email Object Storage – continue to treat as an email
Documents
and their profiles are full text indexed by Domino
(No other server needed) to
allow users to quickly find any document or email that
is stored in WANDOCs™.
Document
E-mail/Fax Integration. The WANDOCs system takes you directly
to your e-mail system
so you can e-mail/fax the attached document(s). Emails
and attachments can be easily stored in WANDOCs™ with
a simple click.
Easily
Compare (Redline) Documents. Simply select the document and
click Compare.
Documents
can be viewed by several criteria, including: By
Author, By Client Matter Name,
By Client Matter Number, By Document Type, By Document
Number, By Date Created, By Date Last Edited, By
Worklist, Reserved Documents, and Templates.
Document
manipulation includes: Copy, Edit, Print, Release, Versions,
View,
Check-out, Check-in, and Final.
WANDOCs 3rd Party Application Support
WANDOCs support all OLE-compatible
applications, including Microsoft Office Suite, Corel WordPerfect
Suite, and IBM Lotus SmartSuite.
Content Management Features
Document
type can be associated with a document template that, when
selected, launches
the document template in the appropriate application with
a unique document number.
The
WANDOCs system comes with “Form
Fill-In”, allowing templates to utilize pop-up
fill-in forms which make document assembly more efficient.
When
the Form Fill-In feature is utilized, tasks such as “search
and replace” become as easy as changing data in
the appropriate Form Fill-In field. Form Fill-In allows
companies
to create custom forms without having to hire or know
Visual Basic Script to create Microsoft Word Forms for
document
assembly.
CRM
and Personal Address Book integration with any Microsoft
Word document. The WANDOCs system
comes with Address Book Macro Integration, which allows
users
to utilize Address Book data in any MS Word document,
including labels/envelopes, merge documents, tables,
etc.
Security Protocols:
The EBI Suite is built
on best-in-class security and encryption. IBM's Lotus Domino/Notes
is the
platform of choice of the Central Intelligence Agency, the
Department of Defense and many other risk adverse industries
including banking institutions and Fortune 1000 companies.
EBI supports digital certificates, SSL encryption and RSA's
SecurID® technology to provide the highest level of assurance
that information is exchanged securely over the Internet.
Client Relationship Management
(CRM) Key Features:
CRM
is a sophisticated information tool that can be used to identify
client needs, trends,
and new business opportunities. CRM provides mailing list
management, case management, service list management, and
can be integrated with popular PDAs, address book applications
and word processing programs.
Data
that can be viewed by area of law, person to contact, e-mail
address, and company
name, etc. Includes data from multiple systems so information
is available quickly. Data examples are client notes,
documents,
financial information and case management data.

Data Warehouse – WebView
The
CRM event system creates an event in the firm-wide event
calendar as well as a reminder
in your personal calendar.
Mailing
List Label Printing Folder allows users to print mailing
list labels directly
into
Microsoft Word.
Send
Facsimiles w/Documents all from CRM. Users select one or
more contact(s) in CRM
then attach one or more document(s) from WANDOCs the fax
is
sent through the electronic fax system.
Enterprise Information Portal
(EIP) Key Features:
Enterprise information portals provide
a single common front-end for access to applications and
resources (also known as Intranets.) The portal serves as
a user-friendly menu that allows users to access any application
on the firm's network or over the Web. The EBI Suite includes
a customizable portal that allows system managers to rapidly
deploy applications and to provide users with customized
views of the company's technology resources.
The EIP system is fully customizable. Applications
can be launched and data can be accessed, either internally
or externally. Also allows for an employee
area with access to such items as Human Resources forms, firm newsletters,
emergency procedures and guidelines, electronic firm directory, etc.

Server-based
knowledge, content and document management system utilizes
IBM's Domino Server (see
IBM's website for Domino specifications: http://www.lotus.com/products/product4.nsf/wdocs/dominohomepage).
The Domino 6 server supports Windows NT/2000/XP, IBM AIX,
Sun Solaris, Linux, IBM iSeries (formerly AS/400) and zSeries
(formerly s/390).
Promotes
server consolidation. For example, full-text indexing does
not require an additional
server(s). According to the 3rd party report from Ferris
Research the number of required servers is reduced by
50%, administration could be reduced by 25%, or $1 per user
per month.
Increase
in user productivity and reduction of system administration.
Companies experience
a dramatic reduction of risk and exposure to harmful viruses
and worms by utilizing Domino's Messaging component. Because
the vast majority of viruses and worms target Microsoft
products (i.e. Exchange and Outlook), companies utilizing
Domino's Messaging component experience higher user productivity
due to the reduction of downtime due to system outages
and email-borne viruses as well as spam diversion.
Save
Network Bandwidth Costs. Network compression: Before data
is transmitted
over the network,
it is compressed. This typically reduces Notes bandwidth
requirements by more than 30%. This is particularly interesting
for organizations running costly international WAN connections,
and mobile users replicating databases over dial-up.
Lower
End-User Support Costs. Many support incidents relate to
setup and configuration.
Notes
6 introduces policy-based management, which allow administrators
to define, organize and manage user settings from a central
location. The items that can be configured include desktop
settings, general preferences, security settings and
archiving. The settings are stored in the Domino Directory.
Policies
can be changed at any time and dynamically applied to
existing users.
Reduced
Future Upgrade Costs. With Notes 6 and beyond, upgrade costs
are reduced. Smart
Upgrade allows the Notes administrator to control Notes client
upgrades from a central location. The administrator can
force a client upgrade, so when an end user connects
to
their Domino 6 server with a Notes 6 client, they are
prompted to upgrade. On confirmation, the new software is
automatically
downloaded, installed and restarted.
Less
Downtime with Preventive Server Failure Monitoring. Integrated
with Notes
6 is the
new
IBM Tivoli Analyzer for Lotus Domino, providing server
health monitoring and analysis of activity trends. The
Server Health Monitor determines server health by calculating
health statistics and comparing them against preset thresholds;
and provides recommendations for restoring server health.
Activity Trends relate to the activities of server, databases,
users, and connections of users to databases. Data can
be explored to see how database workload is distributed
across servers. Using the data, Activity Trends provide
recommendations for resource planning.
Increased
Availability by Improved Fault Recovery. Fault recovery for
the Windows
NT/2000
version of Domino 6 has been introduced. This means the
Domino server can be configured to automatically restart
after a crash. Server startup time is reduced by transaction
logging, which means that certain key views don’t
need to be rebuilt during the startup process.
Lower
Administrative Overhead with Platform Integration. Organizations
that
use Microsoft’s
Active Directory can now synchronize it with the Domino
Directory. Users can be created, renamed, removed and passwords
can be managed in Active Directory and the changes will
be propagated to the Domino Directory.
Mobility.
Multiple users on the same machine. Roaming allows users
to access
their Notes
environment from any machine.
